Booking and Cancellation Conditions
BOOKINGS & PAYMENT
When you have decided on your holiday package you should complete and sign our Booking Request Form and fax it back to us as soon as possible. By requesting us or your Travel Agent to make your booking you are signifying your acceptance of the terms and conditions set out iin this document both for yourself and the other members of your party. When we receive your completed Booking Request Form we will check availability of flights and your requested accommodation.
For bookings requested less than 30 days prior to departure the following conditions apply
1. Deposit
When we make a firm booking with any of our supplier hotels their confirmation constitutes a contract which is subject to their cancellation conditions. This means that we are liable to pay in full for the accommodation requested and therefore for us to confirm a booking within 30 days of your booking request it is essential that a deposit equivalent to 50% of the package price is made at the time of booking. If we are unable to confirm the requested hotel or an acceptable alternative this deposit will be refunded in full
2. Balance
If the requested accommodation is confirmed we will send you a written confirmation and invoice. Payment of the balance outstanding is then due immediately. If payment of the balance is not received the deposit will not be refunded.
For bookings made 30 days or more in advance we will make flight bookings and accommodation reservations and send you a confirmation and invoice which will remain valid for 3 working days. If this documentation correctly reflects your requirements you should send a deposit of 20% per person within 3 days in order to secure your reservations. If you do not have any questions and we do not receive this deposit as set out above then your reservations will be automatically cancelled. This applies especially to certain classes of Airfares where ticketing and, therefore, payment is required within 72 hours to avoid auto cancellation Final payment must be made no later than 30 days prior to departure.
CANCELLATION
Cancellation of any Confirmed Booking must be received by us in writing. If you do need to cancel after making any form of payment and cannot arrange a replacement then the following penalties will apply :
- a) 30 days notice or more = the deposit is forfeited.
- b) 29 to 21 days notice = 60% of package price
20 to 0 days notice = 100% of package price
- c) When a replacement is found by the person who is cancelling only a change of booking fee will be charged. This fee may have to include any charges raised by the relevant Airline for re-issuing of tickets and change of booking class.
- d) If, for any reason whatsoever, you fail to appear for any flight for which a valid ticket has been issued or at the reserved place of accommodation, arrive later or leave prior to completion of booked period of time, this will be considered as Cancellation without notice and NO reimbursement will be considered.
FORCE MAJEURE
In the event of any change, delay or unscheduled extension to the holiday caused by flight delays, bad weather, strikes or any other cause over which we have no control, Rufaro Destination Management will do all possible to assist to mitigate the problem but cannot be held responsible for any expenses incurred as a result thereof.
LIABILITY
Rufaro Destination Management, their employees and affiliates do not accept any responsibility for any client or dependent thereof in respect of any loss, damage or theft of property or any inconvenience experienced from time of departure to time of return.
PRICE
The price quoted is valid at the time of invoicing but is dependent on exchange rate fluctuations and changes in airfares and accommodation rates. Rufaro Destination Management retains the right to adjust this price in respect of any fluctuations to the above until such time as full payment and all documentation is received. Rufaro Destination Management guarantees not to surcharge or increase any prices after receipt of full payment and issue of all documentation.
DOCUMENTS
Once full payment has been received, your travel documents in the form of air tickets and vouchers for the accommodation and services will be issue to you. Where necessary a detailed itinerary will be provided.
INSURANCE
Comprehensive travel insurance is strongly recommended. This insurance should provide cover for cancellation and curtailment costs in case you are unable to travel or must cut your journey short, for personal accident and medical costs and for loss of or damage to baggage.
